Choosing the Right Virtual Tour Service Provider

How to Choose the Best Virtual Tour Service Provider

If you are thinking about adding a virtual tour to your website or marketing materials, choosing the right company to create it is a big decision. A good provider will make the process smooth, creative, and cost-effective, while the wrong one can leave you with an expensive tour that does not quite meet your needs.

The right virtual tour service provider will take time to understand your goals, your audience, and the spaces you want to showcase. Whether it is for a school, hotel, property development, or leisure business, the provider should be able to adapt their approach to suit your project perfectly.

Here are a few key things to look out for when deciding who to work with, and reasons why we think we’re the best option!

1. Image quality matters

Professional photography is at the heart of any virtual tour. The provider should be using high-quality 360 cameras, professional lenses, and proper editing techniques to ensure every image looks crisp and inviting. Lighting, colour balance, and clarity all play a role in helping potential visitors connect with your space.

A good provider will also plan their shoot carefully, capturing the right angles, adjusting exposure in different lighting conditions, and making sure each space looks its best.

A lot of this comes down to experience. Believe it or not, it’s not just a case of going into a room, moving to the centre, and taking the shot. Angles, opening viewpoints, even tripod height are all unique things to think about when it comes to virtual tours. Choosing an experienced provider ensures every angle of your space looks its very best.

2. Platform and features

Not all virtual tours are built the same way. Some companies rely solely on Matterport, which creates highly detailed 3D scans and interactive dollhouse views. This is great for certain industries such as property or construction, but it can be limiting for organisations that want full branding control or more interactive features, and for large spaces that cover wide areas.

Other providers, like us, also use bespoke virtual tour systems that allow for much greater flexibility. These systems can include branded interfaces, video hotspots, photo galleries, downloadable brochures, and direct links to contact pages. When you are comparing providers, ask which platform they use and what options are available for personalisation, and more importantly, onward edits. Keeping your virtual tour relevant is extremely important, having the ability to make edits quickly and easily ensures you always have a tour that displays the correct information, making it far more likely that you promote it at all times, rather than letting things slip and become out-dated.

Our bespoke virtual tours have the option of using our virtual tour content management system (CMS), we call it 360 Studio, and it’s a great addition to your project.

3. Hosting

One of the biggest differences between virtual tour providers is how they handle hosting. Some platforms, such as Matterport, charge yearly hosting fees per scan. If you have a large space or multiple locations, these costs can quickly add up.

A bespoke virtual tour usually has more options. Our CMS virtual tours are our most popular choice, and there is a small yearly fee for hosting and platform access. This is usually around £100 excl VAT, depending on the size of the project. However, if you don’t need the features our CMS has, a non-CMS tour could be for you. Generally suited for smaller projects, these are one-off tours that you can host yourselves, with no ongoing platform costs.

4. Editing, updates, and features

We’ve already touched on our CMS 360 Studio above, but we truly believe having the ability to make constant edits when needed is such an important tool for many projects, so we’ll cover this in more detail here.

A virtual tour should be something you can update as your space or business evolves. Ask if your provider offers a content management system (CMS) or tools that let you log in and make edits. Being able to change hotspot content, add new media, or update information keeps your tour relevant and saves you the cost of calling the provider for every small change. If the provider offers a CMS option, check how easy it is to use and whether it comes with support or training.

As well as constant updates, our CMS also has extended accessibility features, built in analytics, and one of our most popular features, tour duplication. In an instant, you can click and duplicate a virtual tour. You can then go into that tour, and make edits and adjustments to cater for different purposes. This is popular amongst our education clients, where a school, college, or university can make separate versions of their tours for commercial use (room hires), adjusting the hotspot content to focus solely on the details regarding hiring a space. All this is free of charge. You can also use our 360 Studio platform to add in your own 360 scenes, or even still images, making instant updates as your spaces evolve.

5. Experience

Let’s be honest, the barrier to entry for becoming a virtual tour provider has dropped dramatically since the rise of 360 imagery. What was once a highly specialist niche of photography has become far more accessible thanks to one-shot cameras, off-the-shelf software, and the huge amount of “how-to” content available online.

But accessibility doesn’t mean consistency. Not every provider produces the same quality or delivers the same value. Experience still counts for a lot, not just experience behind the camera, but in project planning, lighting, storytelling, and understanding how people interact with a space online. A professional provider knows how to balance image quality, usability, and performance. They understand how to capture spaces that feel natural, how to guide viewers through a story, and how to design interfaces that keep visitors engaged rather than confused.

There is also a technical side that comes only with experience. File optimisation, colour consistency, HDR processing, accessibility compliance, and responsive design all play important roles in producing a tour that looks great and works flawlessly across devices.

At 360 Virtual Tours, we have been creating professional 360 imagery since 2008, working across education, property, leisure, and industry. We have seen every evolution in technology and understand what makes a virtual tour truly effective. Our approach combines creativity, experience, and reliable systems that ensure every project runs smoothly from first capture to final delivery. With our unique platform, we’ve also changed how our clients interact and adapt their tours, making them a constantly evolving product that now does so much more than simply ‘show a space in 360’.

So while it has never been easier to call yourself a virtual tour provider, producing something that truly represents your brand, tells your story, and delivers measurable impact still takes skill, planning, and experience.

6. Pricing

Lastly, let’s discuss pricing. If you’ve already got some quotes for your virtual tour project, you’ll likely be sat down with a huge range of costs from a handful of providers. These can range from just a few hundreds of pounds, to some that could be in the tens of thousands.

Pricing comes down to several factors, and each virtual tour company will have their own reasons for why the price their virtual tours the way they do. Team size, route to market, and their location will play a part. If you have a large team with 20 staff members based in London, you need to cover wages, equipment, and numerous other things, and this is reflected in how a product is priced.

Ultimately, paying more doesn’t always reflect in the quality and features that you end up with. Always look at the companies offerings, how they work, experience, platform used, and take everything into account whilst making a decision. Equally, for a company to work long term and be successful, they must cover their own costs and make enough to continually improve their offering, adapting and developing platforms to maintain competitive. The best way to evaluate a provider in our opinion is to jump on a video call. This gives the opportunity to explain processes, show examples, and work through the project goals. Combine this with the value you get, and you’ll be able to make the best decision on who is better placed to work with you!
